Administrative Services of the Department of Life Sciences: Research and Third Mission

Direct Responsibilities:

  • Coordination of activities as directed by the Department Director;
  • Coordination of staff in the Administrative and Teaching Secretariats in carrying out their duties;
  • Coordination of administrative and accounting management related to teaching, research, and the third mission;
  • Coordination of administrative and accounting activities of the Interdepartmental Research Centers CIDSTEM, BIOGEST-SITEIA, CEIRG;
  • Support to the Department and Interdepartmental Centers’ governing bodies for electoral processes (formation and renewal), meeting organization, and assistance to Directors in implementing resolutions (e.g., drafting agendas, preparing documentation, recording minutes, etc.);
  • Planning, management, and monitoring—together with the Department Director—of the budget allocated by the University and revenues from research, third mission, and teaching projects;
  • Support for teaching and research quality assurance processes and performance measurement systems;
  • Assistance to the Director regarding procedures under the Department’s responsibility, including staff recruitment planning, management of paid teaching assignments, and monitoring of teaching loads;
  • Management of internationalization, mobility, and advanced training projects involving the Department;
  • Liaison with Central Administration.

Main Activities:

  • Processing authorization requests for participation and submission of projects, ongoing monitoring, and reporting (interim and final) of institutional funding at international, national, regional, and local levels for research, teaching, and third mission, including preparation of supporting documents and use of funding platforms;
  • Administrative, accounting, and fiscal management related to third-party accounts: research and consultancy contracts, third-party analysis activities;
  • Contractual management within the Department and Interdepartmental Centers: memoranda of understanding, MTAs, NDAs, collaboration agreements;
  • Accounting and administrative management of purchase orders and passive contracts for goods and services procurement, verification of supply accuracy, and supplier payment;
  • Accounting and administrative management of movable assets (e.g., equipment inventory, acquisition and management of donations, loan agreements for equipment use, etc.);
  • Administrative procedures and fiscal aspects of other contractual forms for selection, stipulation, execution, and conclusion of work and training relationships (e.g., research grants, PhD students, fixed-term researchers, scholarships, study awards, etc.) and other collaborations (occasional, coordinated and continuous collaborations, freelance services, visiting professors and researchers, etc.) supporting research, teaching, and third mission activities;
  • Processing reimbursement requests for travel, missions, society memberships, and minor expenses;
  • Maintenance of the Protocol Register, files, and records for relevant documents;
  • Administrative management of PhD programs in Agricultural Sciences, Technologies and Biotechnologies (STEBA) and in Molecular and Regenerative Medicine (MMR), and the School of Specialization in Hospital Pharmacy;
  • Administrative and accounting management of the Interdepartmental Centers CIDSTEM, BIOGEST-SITEIA, CEIRG as described above.
